Release Notes

ADvendio Version 2.70 (Spring ’16 Release)

ADvendio Package Manager

Description: Product packages relieve the sales workload because products that are often booked together can be bundled together into standardized product packages. In addition, those product packages can help preventing your customers from being offered “wrong” packages. With the new Package Manager, we are equipping you with an innovative new tool that makes it considerably easier to create product packages in ADvendio.

In the Package Manager, you can compile packages and determine fixed packet components (e.g. certain banner formats or display formats) and – if required – a fixed quantity (e.g. 100,000 AdImpressions) of these components. An article about the new Package Manager can be found in our knowledge base.

Implementation: No further implementation necessary. In order to create a package go to Overview > Inventory Management > Package Manager and click Create Package.

Verification of VAT identification numbers

Description: Until now, businesses with customers in other EU countries were required to laboriously check the VAT identification number of their customers, and in some cases, to outsource this work to service providers. From now on, ADvendio will take care of this legal requirement for you. You will save a lot of time!

You can now check the VAT ID of any account either by using a button on the account-record or by using the Account Wizard to verify multiple IDs at the same time. After the verification is complete, you will be informed if a VAT ID is incorrect. An article about usage of the VAT ID can be found in our knowledge base.

Implementation: Activate the VAT ID check button by by going to Setup > Customize > Accounts > Page Layouts and drag-and-drop the corresponding button.

Legal entities

Description: For businesses with multiple subsidiaries or branches, or businesses that encompass multiple legal entities, we now provide more relief than ever before: These businesses now have the option to generate invoices with different number ranges for different legal entities. This means, for example, that a company with headquarters in Germany can invoice on behalf of a French subsidiary and in the process, use completely different number ranges from those of the company headquarters.

When doing so it is possible to determine in detail which numbering system ADvendio should follow when assigning invoice numbers for each legal entity. You can also define a number range system for the allocation of media campaign numbers for each legal entity.

Please note that to use this feature, legal entities must be created. When creating a new media campaign you can then decide which legal entity the campaign is assigned to. An article on creating invoice and media campaign numbers can be found on our Knowledge Base.

Implementation: Create at least one new legal entity by navigating to Overview > ADvendio Objects > Legal Entities and click New Legal Entity. If needed, add prefixes and/or suffixes for invoice numbers and media campaign numbers by setting up a workflow.

Active check box for objects

Description: In our last release newsletter, we introduced the new active check box feature. It enables you to activate or deactivate specific data sets for inventory such as prices and targeting options. You now also have the option to carry out the necessary preparatory work for the subsequent activation of this function (integration of the active check box, activation of the required data sets in the areas of ad-specs, prices and targeting options).

Once you have completed this preparatory work, you can activate the function for your users in the administrative settings. Please note that this function can only be activated if you have completed all the preparatory steps. The reason: Once you activate this function, your users will only see activated data sets.

If you have not yet completed the necessary preparation for this function, you can do so at any time. You can do this by activating or deactivating the respective data sets. The following objects are using the check box:

  • Site, Placement, Ad type
  • AdServer IDs, Keys and Values, Content
  • City, Region, Country

Our tip: If you have a large number of data sets, we will allow you to set these to “active” using the “data loader”. If you would like to make use of this option or have any further questions about implementing this feature, please contact us.

Implementation:In order to activate this feature for all users, go to Overview > Setup & Setting > Administration Settings and tick the check box Filter for active Records. Please note that once the feature is activated, your users will only be able to access data sets marked as “active”.

Native ads for DoubleClick for Publishers

Manual bookings in DFP are unnecessary!

Implementation: No further implementation needed.

DoubleClick Active View data

relevant for all ADvendio customers using DoubleClick for Publishers

Description: With the new “Active View”, DoubleClick for Publishers (DFP) records the visibility of ads that are published via Google Publisher Tags. As a result, Active View data delivers additional information about an ad’s success. ADvendio now enables the accompanying Active View data for each campaign item to be imported from DFP. Advantage: You have direct access to this valuable analysis data in ADvendio.

Implementation: If you have any questions regarding the implementation of his feature, please contact us.

Booking Calendar

Description: Over bookings can cost everyone involved in the ad sales process time, patience and even money. On the other hand, it can make sense to allow targeted overbooking in certain cases.

With this in mind, we have significantly expanded and improved the ADvendio Booking Calendar. The following three new features will make your work easier:
1. Verification of bookings planned as exclusive

For exclusive bookings, ADvendio now allows users to perform an exclusivity check on placement level before the actual booking. I.e. for a specific offer that has already been sent, ADvendio will check whether it is still available for booking. The advantage for your ad sales team: For important exclusive bookings multiple bookings are effectively prevented.

2. Exclusive ad placements can only be selected if available

In the administration settings for the Booking Calendar, you can now determine whether overbookings should be permitted for exclusive placements or not. If you do not select this option, then for exclusive bookings in the Booking Calendar, users can only select the ad placements are actually still available. Ad placements that have already been booked and are no longer available for the desired exclusive booking are highlighted, but cannot be selected.

3. Limited availability of products for a specific period of time

In the Booking Calendar you can now define time periods during which products marked as “exclusive” are to be made unavailable. For example, it can make sense for a soccer website not to offer low-priced products as bookable during a major soccer championship but rather, to favor high-priced advertising formats.

Implementation: In order to make the prevent overbooking feature available go to Overview > Setup & Setting > Administration Settings and tick the check box prevent overbooking. In order to activate the exclusivity check button on campaign item level, go to Setup > Create > Objects > Campaign Item > Page Layouts and edit the corresponding page layout by adding the button Exclusivity Check.

Voucher copies and free copies

Description: ADvendio now allows the convenient administration of voucher copies and free copies. For each media campaign, you can define who should receive voucher copies of one or more titles. Implementation: Simply edit the layout and activate the required fields.

Managing DoubleClick for Publishers “teams” in ADvendio

Description: With the help of “teams”, you can now determine which elements a user can access in “DoubleClick for Publishers” (DFP). You can conveniently control this access for every campaign via the ADvendio interface. Your settings are then transferred to DFP.

Implementation: In order to access and manage DFP team data in ADvendio, use the Ad Server Login link Transfer inventory data from the AdServer by going to Overview > AdServer Interface > AdServer Logins and then selecting the DFP AdServer record. DFP team data can be managed via the Media Campaign Related List.

Media Configuration Grand Total

Description: We have improved the Media Configuration for campaign items. It is now possible to activate the grand total for currency fields. If activated, your users will be provided with a grand total when creating and editing media campaign items. This easily allows you and your ADvendio users to keep an eye, for example, on the total value of a campaign. Especially in the case of extensive campaigns with many campaign items, this function makes it easier for users to create offers. An article about activating the grand total for currency fields can be found in our knowledge base.

Implementation: In order to activate the grand total for currency fields, go to Overview > Setup & Setting > Tab Setup and tick the check boxes for the desired currency fields.

ADvendio Version 2.53 (Winter ’15 Release)

Commercial optimizer

relevant for all users

Description: In our dynamic advertising industry, changes on already booked orders are often not the exception but the rule; either because creatives haven’t been delivered in time, campaigns don’t perform as they should or entire ad specs need to be modified. Additionally, when working with digital inventory, changes must also be considered in the ad server. Changes on running campaigns usually involve different departments and result in a lot of hassle. At that point, a binding contract is in place, the order has already been booked, the campaign is running and has perhaps been partially paid by the client.

ADvendio’s Commercial Optimizer now provides a way to appropriately handle changes in orders and automatize steps of the process. Users using the tool can create the new optimized version of the campaign, generate an order amendment document, send it to the customer and activate the adjustment in the system after approval. This straightforward method allows users create alternative proposals that contain changes to date, quantities, targeting or ad specs in order to provide the best campaign possible. If any services have been already delivered, they are still reflected in the campaign list, along with the documentation of the amendments. All related calculations, cancellations and credit notes are processed automatically.

Thanks to the ad server interface, adjustments can be transmitted to the ad server campaign seamlessly. All departments involved can be connected with the creation of individual workflows and approval processes, reducing manual efforts to a minimum, ensuring frictionless business processes.

Manual delivery data entry

relevant for online: Professional or Unlimited users

Description: Delivery data (AIs and clicks) that is automatically transferred from the ad server to the respective media campaign is just one of the benefits of the ad server integration. However, the delivery data from your own ad server can vary from measurements of other parties or systems. Also, many ad specs are not billed by impressions or clicks and mass entry of the relevant values costs time.
If you are not using an automated interface for transferring delivery data or delivery data is obtained by a third party system or by the advertiser, there wasn’t an handy method to get this data into ADvendio until now. The delivery data wizard helps you in all these cases to easily enter the relevant amounts that are to bill. This way you are still flexible in reporting and invoicing and manual efforts as well as possible error sources are reduced to a minimum. To permanently secure transparency, the manual entered delivery data and the delivery data from the ad server are both visible in the system and reports about the deviation can easily be created using the reporting engine. This video shows you how the delivery data wizard works. (Use case: CPO ad spec).

Implementation: To use the delivery data wizard follow these implementation steps: 1) Go to any campaign item and click Edit Layout. 2) Drag and drop the fields ‘Delivered AIs (manual)’, ‘Delivered Clicks (manual)’ and ‘Invoice Quantity (manual)’ below the delivery data field (Ad Information), show the button ‘Manuel delivery data entry’ and save your changes.
